Title: Grants and Contracts Coordinator
Position Function: The National Forest Foundation (NFF) Grants and Contracts Coordinator reports to
the Director, Conservation Awards. This position works closely with NFF Conservation Awards, Field
Programs, and Accounting staff to support the mission and strategic conservation goals of the NFF and its
local, regional and national partners. General responsibilities includes: coordinating federal agreement
tracking and reporting, implementing procurement policies, verifying and processing payments for
outgoing grants, tracking and submitting incoming reimbursable grant payments requests, and
implementing contract management processes.
Position Duties and Responsibilities: The Grants and Contracts Coordinator is responsible for the
following:
Federal and Reimbursable Funding Agreements
Regularly invoice federal agreements including, but not limited to: U.S. Forest Service
Cooperative Agreements, Challenge Cost Shares, Blanket Purchase Agreements, and Direct
Grants
Prepare and submit quarterly federal financial reports
Track federal performance reports and coordinate submission with NFF program leads
Complete quarterly Federal Subaward Reporting System reports
Maintain Schedule of Expenditures of Federal Awards
Track U.S. Forest Service Collection Agreement status and payments
Ensure compliance with reimbursable grant requirements, including development, tracking, and
submission of payment requests for incoming reimbursable grants
Track document retention requirements for federal agreements and reimbursable grants
Procurement and Outgoing Grants/Contracts
Work with NFF project leads and contractors to develop, review, track, and execute
service contracts
Ensure compliance with NFF procurement policy for all procurement actions, including
working with NFF project leads to develop and distribute Requests for Proposals, and
review and filing of all procurement documentation
Review and process payment requests for outgoing grants and service contracts,
including advances, reimbursements, and incremental payments
Maintain transmittal log of file agreements and scan and file agreements and agreement-
related documents on the virtual private network
Education and Qualifications: The Grants and Contracts Coordinator should possess the following
qualifications:
Bachelor’s degree in a related field or a minimum of five years’ experience in grant
compliance, financial reporting, or related fields
Abilities and Skills: The Grants and Contracts Coordinator is expected to possess the
following proven abilities and skills:
A strong attention to detail and commitment to process
Detail-oriented and highly organized approach to daily work
Ability to represent the NFF in a clear and professional manner through excellent
written and oral communication skills, as well as excellent interpersonal skills at all
levels
Ability to effectively set priorities, while managing a variety of projects and tasks to successful
completion
Excellent analytical skills
Excellent computer skills, with proficiency in common business desktop applications; experience
working with databases preferred
Ability to effectively perform basic financial calculations and expenditure tracking
Ability to work well, and be flexible in a team-oriented environment
